4. Booking & Cancellation Policy
Our approach to consultations, appointment changes, payments and academy enrolments.
4.1 Our Approach
We understand that plans can change and aim to manage appointments with fairness, understanding and professionalism.
To help us provide a reliable service to all clients, we kindly ask that you familiarise yourself with our booking arrangements.
4.2 Consultation Bookings
All new Body Clinic clients must complete a consultation before booking their first treatment.
Consultation appointments are subject to availability and confirmation.
Any applicable consultation fee will be clearly displayed before booking.
4.3 Rescheduling & Cancellations
We kindly request at least [24 or 48 hours — to be confirmed] notice if you need to cancel or reschedule an appointment.
Please contact us as soon as possible if your circumstances change.
Any cancellation charge or retained deposit will be clearly communicated before booking and will be fair and proportionate to the reasonable loss caused by the cancellation, taking account of costs saved or appointments refilled.
4.4 Late Arrivals
If you arrive late, your appointment may need to be shortened or rescheduled depending on the time available and the nature of the service.
We will explain any applicable charge before confirming the booking.
4.5 Missed Appointments
If you are unable to attend, please contact us wherever possible.
A reasonable missed-appointment charge may apply where it has been disclosed in advance and is consistent with applicable consumer law.
4.6 Deposits & Advance Payments
Where a deposit or advance payment is required, the amount and applicable conditions will be confirmed before payment.
Deposits are not automatically non-refundable.
Any deduction following cancellation must be lawful, fair and proportionate.
4.7 Treatment Packages
Where a course of treatments is purchased, the package price, including sessions, scheduling arrangements, validity period and cancellation terms will be explained before purchase.
Requests to cancel unused sessions will be assessed in accordance with the agreed terms and applicable consumer rights.
4.8 If We Need to Cancel
On occasion, we may need to rearrange an appointment due to unforeseen circumstances, equipment issues or safety considerations.
Where we cancel an appointment, we will offer a suitable alternative date or an appropriate refund for the affected service.
4.9 Statutory Cancellation Rights
Certain purchases made online, by telephone or away from business premises may carry statutory cancellation rights, including a 14-day cancellation period where applicable.
Exceptions and special rules may apply, including where services begin during the cancellation period at the customer's express request.
Any statutory rights will take precedence over our standard appointment cancellation arrangements.
